Executive Assistant

Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our senior management team at our Algarve office. The successful candidate will play a critical role in ensuring smooth day-to-day operations, coordinating high-level administrative tasks, and acting as a key liaison within and outside the organization.


Key Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, travel coordination, and meeting scheduling.

  • Handle confidential information with discretion and professionalism.

  • Serve as a key point of contact for internal and external stakeholders.

  • Coordinate client meetings and events, ensuring a professional and seamless experience.

  • Manage office communications and streamline administrative processes.

  • Maintain organized filing systems and assist with data entry and database management.

  • Assist with compliance documentation and internal reporting, as needed.

  • Perform ad hoc tasks and special projects at the request of management.


Qualifications and Skills

  • Proven experience as an executive assistant, personal assistant, or similar administrative role, preferably within financial services or a professional corporate environment.

  • Excellent verbal and written communication skills in English.

  • Exceptional organizational and multitasking abilities.

  • High level of discretion, integrity, and professionalism.

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Strong interpersonal skills and a proactive attitude.

  • Familiarity with CRM systems or document management tools is a plus.
